How Avanti Mind Ltd handles personal data across the website, the app, the platform and the robots.

This document is plain-English website copy structured as a privacy policy. It will be reviewed and finalised by a qualified solicitor before publication. It will be dated when published following solicitor review.

1Who we are

Avanti Robotics is a product of Avanti Mind Ltd, a company registered in England and Wales (company number 16049394, registered office: The Venture Centre, Sir William Lyons Road, University of Warwick Science Park, Coventry, England, CV4 7EZ). Avanti Mind Ltd is registered with the UK Information Commissioner's Office (ICO), registration number ZC172544.

For the personal data described in this policy, Avanti Mind Ltd is the data controller. This means we are responsible for deciding how and why your personal data is used, and for protecting it.

2The plain-English summary

We know privacy policies are rarely read. Here is the short version, and the rest of the document is the detail behind it:

  • We collect only the data we need to provide our products, the website and support.
  • Your data — including camera footage and robot telemetry — is processed and stored in the United Kingdom.
  • We do not sell your personal data, and we do not use it for advertising.
  • Every Avanti robot has a physical camera shutter and a software privacy mode that stop data being captured at all.
  • You have clear rights over your data, including the right to ask us to erase it, and we honour them.

3What this policy covers

This policy explains how we handle personal data across four things:

  • this website (when you browse it, join the waitlist, subscribe to updates, or contact us);
  • the Avanti companion app (when a household uses it to manage a home robot);
  • the Avanti fleet platform (when a business uses it to manage a robot fleet);
  • and Avanti robots (the data a robot generates in operation).

Where a section applies only to one of these, it says so.

4The personal data we collect

4.1 When you use this website

  • Contact and enquiry data (your name, email and any details you provide when you join the waitlist, subscribe, contact us or request a demo);
  • limited technical data your browser sends.

4.2 When you use a home robot and the companion app

  • Account data (name, email, login credentials);
  • household data (members you invite and their roles);
  • robot configuration (patrol routes, schedules, monitoring zones, alert preferences, layout of your home);
  • camera and audio data (live video, event-triggered clips and two-way audio, only when the camera is active — never captured when the physical shutter is closed or privacy mode is on);
  • monitoring and wellbeing data for elderly-care use (activity patterns, fall-detection data, wellness check-in responses — handled with particular care, see Section 6);
  • robot telemetry.

4.3 When you use the fleet platform (business)

  • Account and organisation data;
  • team data;
  • fleet data (robot identifiers, sites, groups, behaviours, configurations);
  • robot telemetry;
  • billing data (payment card processing is handled by our payment provider).

4.4 When you contact support

The content of your enquiry and our correspondence with you, so we can help and keep a record of the issue.

5How we use your data, and our legal basis

We use your personal data only for clear purposes, and each has a lawful basis under UK data protection law:

Responding to enquiries, the waitlist and demo requests
consent or our legitimate interest in responding to you
Providing and operating the robots, app and platform
performance of our contract with you
Keeping the website, app and platform secure
our legitimate interest in security
Sending update emails you have asked for
your consent
Processing payments and managing subscriptions
performance of our contract
Keeping billing and financial records
compliance with a legal obligation
Providing elderly-monitoring and wellbeing features
performance of our contract and, because this involves health-related data, your explicit consent as our condition for processing special category data under UK data protection law — which you can withdraw at any time; see Section 6

6Sensitive data and elderly monitoring

The elderly-monitoring features of Avanti Care involve data that is more sensitive than ordinary account data — activity patterns, fall-detection data and wellbeing information about a person in their own home. We treat this data with additional care:

  • Because activity, fall-detection and wellbeing information is health-related (special category) data, we process it only with the explicit consent of the person concerned or their authorised representative — consent that can be withdrawn at any time.
  • It is collected only to provide the monitoring and wellbeing features the household has set up.
  • Camera and audio data is never captured when the physical shutter is closed or privacy mode is on — control that includes the person who lives with the robot.
  • Access is limited to the family members the household owner invites, in the roles they are given.
  • Because this is high-risk processing under UK data protection law, we carry out a formal Data Protection Impact Assessment for these features, and the platform is designed around what it requires.

None of these features make solely-automated decisions that produce legal or similarly significant effects about a person. Fall detection and wellbeing alerts notify the people the household has chosen, so that a human can decide what to do — a person is always in the loop.

7Where your data is stored

All personal data described in this policy is processed and stored on infrastructure located in the United Kingdom. Your data does not leave the UK. This is a deliberate choice, true on every plan including free tiers. We are a UK company, and we keep your data under UK law. The one limited exception is a card payment: when you pay, a regulated payment provider processes the card details under UK-adequate safeguards — no other personal data leaves the UK.

8Who we share your data with

We do not sell your personal data, and we do not share it for advertising. We share it only in these limited circumstances:

  • with service providers who help us operate (payment provider, UK-based hosting, email and notification providers — all acting on our instructions);
  • for your own integrations if your organisation configures the API or webhooks to send data to your own systems;
  • where required by law, court or regulator;
  • and as part of a business transfer (reorganisation, merger or sale), subject to the protections in this policy.

9Cookies

The website uses essential cookies.

Essential cookies
are needed to make the site work and keep it secure — always on, cannot be switched off.

We do not use advertising cookies and we do not track you across other websites.

10How long we keep your data

We keep personal data only as long as we need it.

Enquiry and waitlist data
kept while we are corresponding with you or until you ask us to remove it.
Account, app and platform data
kept while your account is active, removed within a reasonable period after closure.
Camera and video data
event-triggered clips are kept according to your subscription tier (24 hours, 7 days or 30 days) and then deleted.
Telemetry data
retained for defined periods and automatically pruned.
Billing and financial records
kept for up to seven years, to meet UK legal, tax and accounting requirements.

11Your rights

Under UK data protection law you have the right to be informed about how your data is used, to access the personal data we hold about you, to rectify data that is inaccurate or incomplete, to erase your personal data, to restrict or object to certain processing, to data portability, and to withdraw consent at any time where we rely on it. To exercise any of these rights, contact us at [email protected]. We will respond within one month, as the law requires.

One honest exception on erasure. If you ask us to erase your data, we will do so — except for billing and financial records, which we keep for up to seven years to meet UK legal, tax and accounting requirements. For those records, we anonymise the personal details (your name and contact information) and keep only the financial record itself. Everything else is deleted.

If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk — though we would always rather you came to us first so we can put it right.

12How we protect your data

  • Data is encrypted in transit using current security standards.
  • Robots authenticate using device certificates, not passwords.
  • The fleet platform keeps each organisation's data strictly isolated from every other.
  • Sensitive data is encrypted at rest.
  • Access to personal data is limited to those who need it to do their job.

No system is perfectly secure, but we build and operate ours to protect your data properly.

13Children

Avanti Robotics products and this website are not directed at children, and we do not knowingly collect personal data from children. If you believe a child has provided us with personal data, contact us and we will remove it. A home robot may incidentally capture a child who is present — for example a grandchild visiting a family home. That footage is handled under the same protections, retention limits and privacy controls as all other camera data, and the physical shutter and privacy mode stop it being captured at all.

14Changes to this policy

We may update this policy as our products develop or as the law changes. When we make a significant change, we will update the 'last updated' date and, where appropriate, let you know directly. The current version is always available on this website.
